Under the supervision of the Community Life Associate, the Parish Administrator provides 12-15 hours per week of general office support to enable St. Andrew’s to live into our vision of nurturing diverse community across generations that seeks to embody God’s love for all. The Parish Administrator manages the technology, information, and office systems that keep the people of St. Andrew’s connected, and is a welcoming and responsive presence in our church office who enables all of our ministries to thrive. While much of this work can be back office, the heart of this role is serving the people of St. Andrew’s and our larger community. This work includes, but is not limited to: responding to emails, phone calls, and visitors in the church office; digital information management; assessing information needs and implementing solutions; maintaining updated databases and subscription lists for the people associated with St. Andrew’s; scheduling support for staff and parishioners, supplies and inventory management, managing use of church space by parish and outside groups, as well as supporting church ministries and events. Their work is supervised by the Community Life Associate who manages requests for assistance from the staff and parish to ensure a reasonable workflow for the Parish Administrator, and they also work closely with our Rector, bookkeeper, and ministry leaders to complete their duties.

Essential Duties

Information Management

1.       Manage a functional system of record-keeping for the parish that includes paper and digital files as well as online file sharing and archiving. Assist in assessing church information and technology needs as they change and implement the solutions that meet those needs.

2.       Maintain up-to-date church databases to keep accurate, clear, and current records of all people associated with St. Andrew’s – members, donors, visitors, newcomers, personnel, etc.  Regularly update the Parish Directory, church email and communications lists and subscriptions, and assist in producing directories and reports as needed.

3.      Manage the online facilities calendar to organize building use by internal and authorized external groups. Serve as the main point of contact with outside groups and ensure that new groups meeting in the church have completed Facilities Use Agreements on file.

4.      Maintain records of background clearances for all staff and volunteers who work with children.

Administrative Support

1.       Be a welcoming, friendly, and helpful presence virtually and in the parish office, responding in a timely way to requests for information, voicemail messages, and emails.

2.      As requested, create, update, and maintain online parish sign-ups for events (currently through Sign Up Genius) and assist with ministry and meeting scheduling.

3.      Maintain liturgical service records and assist the Rector with scheduling of baptisms, funerals, weddings, and other events.

4.      Place orders for supplies and equipment, as well as food and supplies for church events and ministries, as authorized.

5.      As requested, provide tech assistance to members who need help using Google Drive, Zoom, Sign Up Genius, and other elements of church IT.

Finance and Stewardship

1.       Record church income in support of the Bookkeeper, including managing online payment methods (PayPal, Tithely, etc.), and making weekly bank deposits.

2.       Process and record bills and forward them to the Bookkeeper and Accounting Warden for approval and payment.

3.      Support financial stewardship by working with the bookkeeper to maintain records of giving, ensure that donors are recognized as appropriate, and complete quarterly mailings of giving statements as well as materials related to the annual stewardship campaign.

And other duties as assigned.

Hours

The position is 12-15 hours/week with some flexibility in setting office hours on 3-4 weekdays between 10am -6pm. The current schedule is Monday-Thursday afternoons, with two afternoons including open office hours. Hours also include at least one Sunday morning per month (more would be ideal) from 9:00 am to noon when the Parish Administrator attends worship and is available for questions and meetings with parishioners following the service. While there is limited flexibility in establishing regular office hours, once they are agreed upon, a generally unchanging weekday work schedule is essential. After the Parish Administrator is fully trained, it might be possible to work a few weekly hours remotely.

Qualifications

  • Excellent computer skills and proficiency particularly with Zoom and Microsoft applications (Outlook, Word, and Excel) as well as the ability to easily learn new programs and products such as the Breeze parish database, Google Drive, MailChimp, etc.Welcoming disposition who enjoys helping and supporting others.

  • Ability to maintain confidentiality at all times regarding people and information.

  • Minimum 3 years of office experience and administrative support is required.

  • Effective communication skills, both verbal and written.

  • Must pass background investigation to comply with church requirements.

  • Bachelor’s or Associate’s Degree is preferred.

  • Experience in a church or other ministry setting is preferred.

Compensation

The position is paid on an hourly basis at a rate of $20-$25/hour, commensurate with experience.

Paid Time Off includes three weeks per year inclusive of vacation, personal, and sick time, plus the week between December 25 through January 1 when the parish office will be closed. In addition, the portion of all federal holidays that fall on normal working hours will be paid time off.
